Case
Skånemejerier's vision is to be the most sustainable dairy in Sweden. And when producing about 200,000 tonnes (!) of dairy products a year, it's good for the planet if everything produced eventually ends up where it should, in the stomachs of happy customers.
For this to happen, a skilled team is required to ensure that all orders go where they should. And it needs to be done quickly, as dairy products are perishable goods with a limited shelf life.
About 70% of the orders come in through the business system M3, but 30% of them still land in someone's inbox as an Excel sheet or a PDF. This means that the person in question has to drop everything they are doing, move the data from the email and input it where it belongs in M3. This work takes time, is not particularly fulfilling, and the risk of something going wrong is always present.
To solve the problem, we developed an automation together in UI Path, a tool that makes it possible to automate processes and routines. The robot, named Robin, independently transfers the information from the PDFs and Excel sheets into M3, without anyone needing to know that it has even happened.
Today, Robin saves about 12 hours a week for Skånemejerier. The plan is for Robin to soon be able to handle all the orders that are currently manual on his own. We're talking about as much as 1.5 full-time positions. That's quite a bit of time that can instead be spent on more enjoyable and value-creating tasks.
But, are the staff who are currently doing this job worried that a robot will come and do their jobs? Actually, no.
The staff think it's great. Now they can focus more on a proactive dialogue with their counterparts on the customer side, which is good for both the customer and the customer's customer!
The project has gone very well, as there haven’t been any significant risks. We assigned one person to double-check the orders initially added by Robin to ensure everything was working as expected. We are gradually adding one customer at a time to Robin, aiming to completely eliminate manual order registration. Overall, we are very satisfied!
Skånemejerier enlisted the help of Elvenite to automate manual order entry using a robot. Today, the robot saves about 12 hours a week, with a potential of 1.5 full-time positions when everything is fully completed soon. In the long run, the solution may also reduce waste as the human factor is not as significant.
