Intro
To strengthen its competitiveness and optimise its processes, Scandbio decided to transition from Microsoft Dynamics AX to the Infor M3 CloudSuite business system. The goal was to meet critical business needs and improve productivity.
Case
The project's objectives were ambitious but necessary. Scandbio faced the challenge of simultaneously managing several large-scale projects, including the implementation of multiple new systems such as CRM, webshop, invoicing, and BI solutions. This required seamless coordination, prioritization of resources, and the use of agile methods to maintain full production during the transformation.
The project included:
The main objectives of the project included:
At Elvenite, we advocate for an agile approach, with clear sprint goals, process teams, and Kanban boards to manage tasks effectively. Each sprint lasted three weeks and ensured that Scandbio's key users learned the system through practical work early in the project. This approach facilitated collaboration and knowledge transfer between Elvenite and Scandbio.
Each sprint concluded with a Release Candidate, enabling iterative value delivery and quick adaptation to changing needs.
The project start exceeded expectations. We got underway a little earlier than planned and managed to keep costs below the original budget, so we see it as a very successful project.
The project faced complex challenges, including the need for integrations with other systems, such as:
A strong driving force in the project was the need to gather data in one place to ensure consistent and reliable information across all processes. By creating a centralized platform, duplicate work was reduced, and decision-making could be based on accurate and up-to-date information.
To manage these complex requirements, Scandbio early on used a project portfolio visualisation tool that helped the management team prioritise and reallocate resources. Some projects could be postponed to focus on critical tasks, optimising both time and budget.
Managing multiple systems simultaneously required proper planning and coordination among all stakeholders, along with a carefully planned cutover phase, which was crucial for a smooth transition from Dynamics AX to Infor M3 CloudSuite.
The cutover phase - the critical transition where the old system is replaced by the new - was carefully planned in advance, ensuring a smooth transition to Infor M3 CloudSuite. The first day in CloudSuite, and the first go live week, can be summarized as one of the calmest and least stressful go live weeks we have experienced.
The go-live day was extremely calm. Sure, we encountered a few obstacles, and perhaps not all IT messages got through as we had planned, but our carriers managed to dispatch the orders they were supposed to deliver, and we were able to place orders for our customers, report on manufacturing, and then also receive our purchases. Overall, it was a very controlled go-live.

The project met its main objectives and delivered improvements in Scandbio's operations. The biggest gains have been increased efficiency, improved data quality, and reduced manual work. With a more structured system in place, Scandbio now has better control over its processes and can make more informed decisions based on real-time data.
The ERP project and implementation of Infor M3 CloudSuite has been an important step forward for Scandbio. Through close collaboration and careful planning, Scandbio now has a business system that meets their unique needs. CloudSuite provides them with increased control over their processes, contributing to better opportunities for future development and efficiency in the market.
We have seen how important it is to work with flexible and adaptable solutions during such a comprehensive change as an ERP implementation entails. With Infor M3 CloudSuite in place, Scandbio has strengthened its operational processes and is well-equipped to face the challenges of the future.
When it comes to the future, we believe that we can leverage the fact that we have a lot of data in M3 in a well-organised and structured way, which enables the application of machine learning and AI models. We have conducted a first test to improve our sales forecasting by analysing historical data and identifying trends. The next step will be to investigate whether we can apply the same method to the inflow, that is, the purchasing flows of wood shavings, which is our raw material. All of this has been made possible thanks to having a system where all data is collected and well-organised.
